Step 1: Click on Create New Case(s)
Step 2: Use the Lookup Person Feature to see if a profile for the person already exists. There should only be one profile for people added or created in cases.
Step 3: If the person does not have an existing profile click on “No Match Found”. If the profile matches the person, then click Select. If you need to confirm the profile, click View to see information within the profile and cases with this profile.
Step 4: If Select is chosen it will load the existing profile. If No Match Found is selected, you will be able to create a new profile. Complete the fields to create a new profile. Red fields are required, name to save the profile and the other red fields for the calculations of the NCA Report.
Step 5: Once the information is added to create the profile or if the profile is loaded from an existing profile, you will have an option to add other people or save and open the case if there are no other profiles or people to add to the case.
Step 6: If you have other people to add to the case click Add Another Person. This is an ideal time to add co-victims or anyone who will need a case number or separate case to track services. Clicking Add for Alleged Victims/Clients creates a case number. Clicking Add for Other People only adds the person to the case and does not create a case number for that person. By adding all the people involved with the case here it automatically adds them to the People Tab and will be reflected in each case number that has been created on the individual People Tabs. Any people added to The Alleged Victims/Clients area will then be automatically linked to the General Tab of all cases created. Again, when adding people to both areas utilize the Lookup Person Feature to use existing profiles that may already be in NCAtrak.
Step 7: When adding additional Alleged Victim/Clients the top portion of the page is the Personal Profile or Biography for that person and is the profile you will want to use for any additional cases. The next three sections allow you to copy information from the Alleged Victim/Client. The Case Specific Information is information specific to this case and includes information like address and phone number. The next section is the Referral Information that will be found on the Presenting Tab within the Case. This is information about how the case was referred. The final section provides an opportunity to add an MDT meeting.
Step 8: Once everyone is added click Save and Open Case.
Step 9: After clicking Save and Open Case it will show the Newly Opened Case(s) with the CAC Case Number(s) assigned. These Alleged Victim/Clients have an individual case number to track services and will be linked on each other’s General Tab and additionally Co-victims on each other’s case if appropriate. The next section is Agency And Personnel Assignments where you can add service referrals that will be added to each case’s General Tab Case Tracking Chart.
